Staff Account Creation
Definitions
Domain Accounts: Domain accounts are domain joined accounts which would be used to access on premise resources such as shared drives and computer logins.
Office 365 Accounts: Office 365 accounts are accounts created in Azure EntraID that allow users to log in to office365 products as well as services that require Azure Authentication.
Questions and Answers
Q: Who can request a Staff account?
A: Staff account creations should not be submitted via Ticket. Staff accounts are created through the request form by Human Resources
Q: How long will the Staff account stay active?
A: Staff accounts will remain active as long as an employee is in workday. The day they drop off of our workday file received daily, the account will be disabled.
Q: When will the employee receive their account?
A: Through the flow process employees accounts are created within 45 minutes of when People and Culture submits the account creation form. They will receive their credentials when HR provides them to the individual(typically at orientation).
Q: What if I need my account before I am considered an employee
A: Accounts should only be available once you are considered an employee, there are very few exceptions to this policy, and will only be considered after speaking with the Information Security office.
Account Creation
Staff accounts are created by People and Culture using the Microsoft Account creation Form.
The following must be present for Human resources to complete the form:
- Alternate Email
- UIN
- First name
- Last name
- Department
- Managers Email Address
Included in the account creation process is the creation of Domain accounts and Office365 accounts
Notification
Within the flow process if all information is provided the new staff employee will receive a welcome email upon account creation.
