Student Account Deletion Policy

University information resources including email services are strategic assets and as such must be managed as valuable state resources. Email account management serves to maintain the security and efficiency of the University network. This policy, therefore, addresses the university’s student email account policy.

The purpose of this internal policy is to ensure consistent account creation and retention practices in order to use limited resources efficiently and securely.

Account Deletion
MS365 accounts and NTNET accounts will be de-provisioned after the 25th class day or each long semester.
When deleting student accounts accounts will remain in the recycle bin for 30 days where we can recover the account for the user under certiain circumstances.
Notification
One week before accounts are scheduled for deletion, each affected account owner will receive email notification that their account is scheduled for deletion. Account owners are responsible for backing up any files they wish to keep.
Additional Information:
We cannot hold off your account deletion on the basis of potential future enrollment. Once you have been re-admitted to the university, your account will automatically be recreated with the same username.

Definitions
Certain Circumstances: Students who are completing courses such as incomplete classes, comprehensive exams, practical exams, etc.
Long Semester: Fall or Spring 16 week semesters.
Dormant Accounts: accounts of students that no longer have a relationship (accepted or enrolled) with the University and have never been accessed or the last access date is greater than a year.
Information Resources (IR): the procedures, equipment, and software that are designed, employed, operated, and maintained to collect, record, process, store, retrieve, display, and transmit information or data.
MS365: Microsoft 365 Enterprise that includes Office 365 and enterprise mobility and security.
Deprovision: Deleting the account and removing access rights and privileges associated with the user account.
