This guide offers a walk through for using the Webex desktop app on your Windows PC or Mac.
The Webex desktop app allows you to control your office phone from your computer. Look up names and numbers, check voicemail, and place or receive calls using your computer's audio input/output.
You can also use the Webex desktop app when away from your office, giving you soft phone functionality and allowing you to make and receive calls from any computer with an Internet connection.
The Webex desktop app is not required to use your office desk phone normally.

Installing Webex Desktop App
Tarleton Windows PC
Open Company Portal.
Search for "webex" and click on it.
Click Install.
Tarleton Mac
Open Self Service.
Search for "webex" and click on Install underneath it.
Click Install again.
Personal Computer
Go to https://www.webex.com/downloads.html
Click on the provided download link for your computer platform. Or click on the App Store or Google Store links on your mobile device.
Install the Webex app to your device.
Sign In - All Devices
After opening the Webex app, click Sign In.
Enter your Tarleton email address and log in with your Tarleton credentials.
You can only be logged into one Webex app at a time. If logging into your computer, then your mobile app will automatically be logged out. And vice versa. Logging into the app does not impact your physical office phone.
Top Bar - Profile, Settings, & Search
Click your profile icon to access your Profile.

"Availability" sets your listed availability to other Webex app users.
- Active (default)
- Busy
- Do Not Disturb
You can also set Quiet Hours.

"Status" allows you to enter a preset or custom status message for other Webex app users to see.

Write your custom status at the top, or select a preset status below.

You can also quickly access your status options by clicking on "Set a status" next to your profile icon.

"Edit Profile" allows you to set your profile picture.

You can only change your profile picture (default is pulled from Workday) and cover image. All other profile info is from Workday and cannot be changed in Webex.

"Settings" will open the app settings.

You can go through settings to adjust your Webex app experience.
Click on the right facing arrow to expand a section for more options.

- Audio sources - Set to system setting or set custom audio devices for Webex
- Allow access to microphone for Mac users
- Video
- Select camera is multiple (common with docked laptops)
- Change camera resolution to 1080p if available
- Allow access to camera for Mac users
- Notifications
- Set quiet hours schedule using custom option
- Set Messages, Meetings, and Calls notifications to your liking
- Appearance
- Light/dark mode or other coloring
- Emoji skin tone
- App sidebar to change left sidebar shortcuts
- Accessibility
- Messaging
- Go through options if using Webex for messaging
- Calling
- Go through options if using Webex app for calls
Click "Search" to search call logs, messages, and meetings in Webex.

Click the "+" button to start a communication.

Select the type of communication to get it started.

Sidebar - Calling, Messaging, & Voicemail
Click "Calling" on the left sidebar to access your soft phone.
You can search for a phone number in your Webex contacts or in the Tarleton directory (can search by name).
Or use the keypad to manually dial a number.
- You can enter just the extension for Tarleton numbers
- You do not need to press "8" or any other prefix for external numbers

Your call log it to the right. You can click the call button to call that number back.

Or click the options button for other options or to delete the number from your log.

Click "Messaging" on the left sidebar to access Webex messaging.
You can direct message other Webex users, but they must have the Webex app installed on their device.
You can also create a "Space" which will work like a group chat. These can be private to the members only or public to all Tarleton employees.

Click "Voicemail" on the left sidebar to access your Voicemail through the app.
You'll be able to check new "unread" voicemail and any voicemail you have saved.

Click the "Call voicemail" button to access voicemail through your phone or soft phone.
